Operational and Personnel Management in the Retail Setting – Walgreen Co. Houston

 The pharmacy management personnel in the Houston market will provide the opportunity for individuals to see a wide scope of issues in the daily management of a retail pharmacy. The student will gain knowledge in workflow management which most efficiently utilizes labor mix and scheduling, workstations, task segregation, workload balancing, pharmacy layout, and continuous quality improvement.  The rotation will teach the management of the numerous reports related to inventory ordering systems based on sales, on-hand quantities, and forecasting to be sure the proper inventory is maintained.  The student will review operating statements to gauge pharmacy efficiency and profitability.  Creating a schedule based on staff issues and needs will be addressed with our Staffworks system.  The rotation will allow the student to walk in the footsteps of not only a pharmacy manager, but also a store manager, as well as a district pharmacy supervisor.  The student will have a comprehensive understanding of what it takes to manage the dynamics of people and processes in a retail pharmacy  

 Student Activities

  Week 1:  Systems training and workflow management 

The student will begin interactive cd-rom training on Intercom Plus, the Walgreens prescription processing system.  A good understanding of the expectations of each  workstation at the cash register, the drive-thru, and the filling station will be taught.  KPIs, which is a daily report card on performance, will be discussed as we will show what performances have a direct or indirect effect on them.  And lastly an introduction to pharmacy management reports will be discussed. 

Week 2:  Systems training, KPI reports, and SIMS  

The interactive cd-rom training will be complete with an overview of the in-window and phone system procedures.  An advanced understanding of workflow management will be achieved as the learning process continues.  The student will further analyze KPI reports and make recommendations for improvement.  SIMS (Strategic Inventory Management System) training will begin as the student will learn how to read various inventory reports and utilize them to be certain the proper inventory will be received on a weekly or twice weekly basis. 

Week 3:  SIMS and Operating Statements 

The student will continue SIMS training and learn how to control inventory so as to maintain the proper on hand quantities of medication.  The student will learn the ordering procedures for CII drugs.  The rotation will provide an understanding of the return procedures of expired medication to the vendor for both control and non-control drugs.  The student will post claims and receipts from vendors and other stores to facilitate proper inventory control.  Loss prevention reports that control the potential for theft will be reviewed.  The student will get an in-depth look at operating statements, learning about vendor buys, gross profit, days supply, over/under buys, warehouse purchases and how they all pertain to running an efficient and profitable pharmacy.    

Week 4:  Scheduling Procedures, Store Management, and District Pharmacy Supervision 

The rotation will provide an understanding of scheduling needs and availabilities of employees in comprising a proper schedule.  The student will spend a day with the store manager and get to know what duties their job consists of as they manage both the pharmacy and front-end store departments.  The district pharmacy supervisor will have the student for at least one day as they will visit other pharmacies and evaluate the department’s strengths and weaknesses. Finally, the student will perform an overall review of the comprehension of all facets involved with the daily management of an efficient pharmacy.
